By booking me, you agree to the following terms. These exist to keep things clear, fair and respectful for everyone involved.

Booking and payment

A booking is confirmed once the agreement is signed and any required payment is made. All payment terms will be shared upfront.

Cancellations and rescheduling

If you need to cancel or reschedule, please let me know as soon as possible. The specific terms for cancellations and rescheduling, including any notice periods or fees, will be outlined in your booking agreement.

Turnaround times

Turnaround times vary depending on the scale and nature of the project. I will agree timelines with you in advance and stay in communication throughout, letting you know promptly if anything needs to shift so we can plan together.

Equipment and materials

I bring my own photography and videography equipment as required for the project.

Clients are responsible for supplying any materials needed, such as logos, brand assets or reference materials, and for ensuring all rights and permissions to use those materials are in place.

Creative approach

I operate as a freelancer and retain artistic discretion in how the work is produced, in line with my established style and professional judgement, subject to agreed deliverables. Collaboration and feedback are welcome, but final creative decisions remain with me unless otherwise agreed in writing.

I prioritise the dignity, representation and agency of all participants, ensuring individuals are portrayed respectfully and authentically.

Consent and permissions

Clients are responsible for obtaining signed or verbal consent from any identifiable individuals who will be documented. Clients must also confirm that all necessary venue permissions, access arrangements and approvals required for photography and videography are secured in advance of the shoot.

Respect and safety

I work in a consent‑led and dignity‑centred way, creating environments where people feel respected and at ease. I ask everyone involved to uphold these same values throughout the process. If at any point the atmosphere becomes unsafe, disrespectful or harmful, I may pause or bring the session to an end.

Limitation of liability

I take great care to deliver your images and films with professionalism, attention and respect. If unexpected circumstances arise that are genuinely beyond my control, such as illness, technical failure or events that prevent safe working, I will communicate openly and work with you to find the best possible way forward. In these rare situations, my liability is limited to the value of the booking.

Copyright and image use

Copyright remains with me, Leoni Fretwell. Clients receive a licence to use images or films as agreed in their contract, and any additional usage must be agreed separately in writing.

File retention

I will retain final edited files for a minimum of 6 months from the date of delivery, unless agreed otherwise in writing. Please ensure all files are downloaded and backed up within this timeframe, as long‑term storage is not guaranteed.
